Privacy Policy
Prep’d Film (“Prep’d Film,” “we,” “us”) is operated by Prep’d Film LLC. This policy explains what we collect when you use prepdfilm.com and the Prep’d Film app, why, and the choices you have.
The short version: we collect what we need to run your account and save your films. We don’t sell your information, we don’t show ads, and we don’t use tracking or advertising cookies.
What we collect
Information you give us
- Account details: your name, email address and password. Passwords are stored by our login provider in scrambled (hashed) form; we can’t see them.
- Profile details: your birthday, whether you’re a man or a woman, your street address, city and state, and your school if you tell us you’re a college student. We use these to set up your account the right way (for example, to know when a parent’s permission is needed), to offer student pricing, to keep accounts from being duplicated, and to understand who uses Prep’d Film in general. Your birthday can’t be changed after it’s set; contact us if it’s wrong.
- ID photos for checks: if you ask for student pricing, you send photos of the front and back of your student ID and type your student ID number. If an account is for a child under 13, a parent or guardian sends photos of their ID. The photos go to a private folder that only Prep’d Film staff can open, and they are deleted as soon as we approve or decline the check. We never keep your student ID number itself: we keep only a scrambled code made from it (so one student ID can’t be used for two student accounts), the last four characters, your school, and the date your student status ends. After 4 years on student pricing, we also ask for proof you’re enrolled that term (like a class schedule), handled the same way; student pricing ends after 6 years.
- Your film content: everything you enter in a Hub, such as project details, tasks, notes, budgets, expenses, sketches, reference images, and the names and contact details of cast, crew, locations, vendors and investors you log.
- Messages to us: anything you send when you contact support.
- Payment details (when paid plans open): payments will be handled by our payment processor. We will receive your plan, billing status and the last four digits of your card, never your full card number.
Information collected automatically
- Device information: when you sign in, the app creates a random ID for that browser and a simple label such as “iPhone · Safari”, plus when it was last used. This is how the device limit on your plan works, and you can see and remove your devices in Your Hub.
- Technical logs: our hosting and database providers keep standard logs, such as IP address, browser type and time of request, for security and to keep the service running.
- Storage on your device: the app keeps a copy of your films and your sign-in session in your browser’s storage so it works offline and opens fast. This is not used for tracking.
Information about other people
When you log cast, crew, investors or other contacts, you’re storing information about them. Please only add information you have a right to use for your production. We use it only to provide Prep’d Film to you, and only you (and, when the Prep Room opens, people you invite to that film) can see it.
Signed documents and tax IDs
When you sign an agreement or W-9 in Prep’d Film, or scan a paper contract, the finished PDF is saved to a locked folder that only the film’s owner can open. These PDFs can contain names, signatures, addresses and, on tax forms or deal memos, Social Security or tax ID numbers. A Social Security or tax ID number is printed only inside the signed PDF: we don’t save it with your film’s other information. Signed copies can’t be changed after signing. Each one has a fingerprint (a SHA-256 hash) so you can check it hasn’t been altered. You can print, share, email or download them, one at a time or all at once (Toolkit → Signed production docs → Download all).
If you add a partner in Your Hub, that person can open, edit and sign in all of your films, including your signed-docs folder. You can remove them at any time.
When you delete a film, its signed documents are kept so a signed contract isn’t lost by accident. Email us if you want them deleted too.
Notifications
If you turn on notifications, we save a delivery address for that device (from Apple, Google or your browser) so we can send you alerts like “Call sheet sent.” The alert text passes through that company’s push service. You can turn notifications off anytime in Your Hub → Account, or in your device settings.
Referrals and ambassadors
If you join with an ambassador’s referral link or code, we record which ambassador referred you. The ambassador sees your first name, your plan and the date you joined, never your email, films or payment details. Ambassadors give us their name and social media handles when they apply.
How we use information
- To create and run your account, save your films and sync them across your devices.
- To send account emails, such as confirming your email or resetting your password, and important notices about the service.
- To keep Prep’d Film secure, prevent abuse and enforce plan limits.
- To answer your questions and fix problems. Our support staff can see account details (email, plan, devices, purchases) and, only when needed to fix a problem with a film, a copy of that film’s data. Support staff have no access to your signed documents.
- To understand overall usage so we can improve the product. We don’t read your film content for this.
We don’t sell your personal information, and we don’t share it for targeted advertising.
Who we share it with
We use a small number of service providers who process information on our behalf, under their own security and privacy commitments:
- Supabase: account login and the database that stores your films (servers in the United States).
- Our website host (such as Netlify or Cloudflare): delivers the website and app files.
- Google Fonts: loads the site’s typefaces, so Google receives your IP address when the page loads.
- Our email provider: sends account emails.
- Our payment processor (when paid plans open): handles billing.
- Google Sheets or Microsoft Excel, only if you choose to connect them: your browser sends your data directly to your own spreadsheet. We don’t receive a copy.
We may also share information if required by law, to protect the rights and safety of our users or others, or as part of a merger or sale of the business, in which case this policy will continue to apply to your information.
How long we keep it
We keep your account and films for as long as your account is open. When you delete a film, it’s removed from our active database right away. When you close your account, we delete your account and films. Copies may remain in our providers’ backups for a limited time before they’re overwritten.
Your choices and rights
- See and export your data: open a film and use Project → Download backup at any time.
- Correct it: edit your films and your name directly in the app.
- Delete it: delete any film in Your Hub, or delete your whole account in Your Hub → Account → Delete my account. You can also email us.
- Devices: see and remove signed-in devices in Your Hub.
Depending on where you live (for example California, Virginia, Colorado, or the EU/UK), you may have additional rights to access, correct, delete or port your information, or to object to certain uses. Email us and we’ll respond within the time the law requires. We won’t treat you differently for using these rights.
Security
Information is encrypted in transit (HTTPS). Database rules make sure each account can only reach its own films, and only from devices registered to it. No system is perfectly secure, so please use a strong password that you don’t use anywhere else.
Children under 13
Young filmmakers are welcome from age 5, but an account for anyone under 13 needs a parent or legal guardian’s permission first. Here’s how it works:
- When someone signs up with a birthday that makes them under 13, we ask for a parent or guardian’s name. Until the parent or guardian sends photos of their ID and we approve them, the account stays locked and can’t be used.
- The ID photos are only used to confirm that an adult gave permission, and they’re deleted as soon as we approve or decline.
- For a child’s account we keep only what the account needs: the name, email the parent chooses, birthday, address, city and state, and the projects they make. We don’t sell it, and we don’t show it to advertisers.
- A parent or guardian can ask to see, change or delete their child’s information, or stop the account, at any time by contacting us.
If you believe a child under 13 is using Prep’d Film without a parent’s permission, contact us and we’ll lock the account and delete its information.
Changes
If we change this policy, we’ll update the date above. If the changes are significant, we’ll tell you by email or in the app before they take effect.
